Create Large Mail Search Folder

 

Creating a Large Mail Search folder makes it much faster and easier to locate which emails in a user's box are taking up the most space. Typically, these emails will have large attachments that eat up space in the mailbox.

1. Open Outlook, then find Search Folders.

2. Right-click Search folders, then click New Search Folder.

3. Find Large Mail under Organizing Mail and select it.

4. Click the Choose... button and put 3000 KB in the prompt.

5. Hit OK, then OK again. Allow the search to run for a bit.

6. Once the folder has finished populating large emails, you can go through these to see if there are any that can be deleted

Setting up AutoArchive

These emails are still accessible via the Archive folder in the email account, but archived emails may not show up in searches. You can still search Archived by clicking the archived folder and searching from there

  1. Open Outlook, click File in the top left corner.
  2. Click Options in the bottome of the left sidebar.
  3. Select Advanced, then click the AutoArchive Settings button.
  4. Check the Run AutoArchive every... box, then adjust these settings to the user's preference.

Clean out items older than 3-6 months is a good place to start.

Click the Apply these settings to all folders now button, then click OK
